At Hotel SS Comfort Palace, we understand that plans may change. Our Refund and Cancellation Policy is designed to be transparent and fair while ensuring smooth operations and minimal inconvenience for all guests. By making a booking with us, you agree to comply with the terms below.


1. General Policy

1.1. This policy applies to all types of bookings made directly through our website, at the reception desk, over the phone, or through authorized travel partners.
1.2. Cancellations, refunds, or modifications must be made through the same platform or channel through which the booking was made.
1.3. Any refund or cancellation request will be processed only after receiving a written or digital confirmation (email, message, or official form).


2. Hotel Room Bookings

2.1 Cancellation by Guest

  • Free Cancellation: Guests can cancel their reservation up to 48 hours before the scheduled check-in date without any penalty.
  • Late Cancellation: Cancellations made within 48 hours of check-in will attract a charge equivalent to one night’s stay.
  • No-Show: If the guest fails to arrive without prior notice, the entire booking amount for the first night will be charged, and the remaining stay may be released without refund.

2.2 Modification of Dates

  • Changes to check-in or check-out dates are subject to room availability and rate variations.
  • No modification fee will be charged if the request is made at least 48 hours before check-in.

2.3 Early Check-Out

  • Guests who check out before the booked departure date will be charged for the entire stay unless otherwise approved by management.

2.4 Refund Process

  • Eligible refunds will be initiated within 7–10 business days after cancellation confirmation.
  • Refunds will be made through the original payment method used during booking.
  • Transaction or convenience fees charged by third-party portals are non-refundable.

3. PG (Paying Guest) Accommodation

3.1 Booking Confirmation

  • A security deposit and one month’s rent are generally required to confirm a PG booking.
  • The security deposit is refundable at the end of the stay, subject to the conditions below.

3.2 Cancellation Before Move-In

  • Cancellations made 7 days or more before the scheduled move-in date are eligible for a 50% refund of the deposit.
  • Cancellations made less than 7 days before move-in will result in forfeiture of the full deposit.

3.3 Early Termination of Stay

  • Guests wishing to vacate must provide at least 15 days’ written notice.
  • Rent already paid for the ongoing month is non-refundable, regardless of early departure.
  • The security deposit will be refunded within 7 working days after the room inspection, provided there is no damage or outstanding dues.

3.4 Forfeiture of Deposit

The security deposit will be forfeited in part or full if:

  • The room or property is damaged.
  • Outstanding rent or utility bills remain unpaid.
  • House rules or terms of the agreement are violated.

4. Serviced Apartments / Flats

4.1 Short-Term Stays (Daily or Weekly)

  • Cancellations made 72 hours before check-in are eligible for a full refund.
  • Cancellations made within 72 hours of check-in will incur a charge equivalent to one night’s stay.

4.2 Long-Term Stays (Monthly or More)

  • To cancel or modify a long-term booking, guests must provide at least 15 days’ notice.
  • Refunds for prepaid rents will be pro-rated after deducting the applicable notice period, utility costs, and maintenance charges.

4.3 Deposit Refund

  • A refundable security deposit is required for all flat bookings.
  • Refunds are processed within 10 working days after check-out, subject to a satisfactory property inspection.

5. Cancellation by Hotel SS Comfort Palace

In rare cases, due to operational, safety, or unforeseen circumstances (such as maintenance, double booking, or government restrictions), Hotel SS Comfort Palace reserves the right to cancel a booking.
In such cases:

  • Guests will be offered an alternative room or date, or
  • A full refund of the booking amount will be issued, depending on guest preference.
    No additional compensation or liability shall be provided beyond the refund of the paid amount.

6. Force Majeure Clause

Hotel SS Comfort Palace shall not be held liable for delays or cancellations due to events beyond our control, including natural disasters, strikes, lockdowns, pandemics, government actions, or technical failures. In such cases, the management may offer rescheduling or partial refunds based on circumstances.


7. No Refund Conditions

Refunds will not be provided in the following cases:

  • Failure to show up on the check-in date (No-Show).
  • Early departure after check-in.
  • Violation of property rules or misconduct leading to eviction.
  • Incomplete stay due to guest’s personal reasons or emergencies.
  • Bookings made under non-refundable promotional rates.

8. Refund Timeline and Method

  • Refunds (if applicable) will be processed within 7–10 business days after approval.
  • Payments made via credit/debit card or online gateways will be refunded to the same account.
  • For cash or bank transfers, refunds will be issued via bank transfer upon receiving valid account details.
  • Hotel SS Comfort Palace is not responsible for delays caused by payment processors or banks.
